Production Coordinator - Administrator


 

Job Description
This role is part of the Production Coordination and Administration Team for our client Oireachtas TV, in the Oireachtas Broadcasting Unit based in Dublin 2. The unit contains six live production galleries, two television studios for studio discussion programs and Irish Sign Language and two edit suites. The office runs a 24/7 Channel live on Sky, Virgin, Eir, Saorview and Vodafone.
The role is a combination of office administration, coordination and communication, with a keen focus on attention to detail throughout all tasks. This is primarily an administration role however, experience in Television or Radio Production Workflows is an advantage. Knowledge of the Irish Language is an advantage but not essential.

This is a 40 hours per week contract, Monday to Friday with two regular late shifts each week. Flexibility and availability are required to facilitate client needs. Depending on the successful applicant, from time to time it may be required to support the live production galleries or assist on production shoots.
Full training will be provided.

Role & Responsibilities

Office Administration:
Primary office contact point for visitors, enquiries and bookings – in person, by email and telephone
Creation of weekly rosters and crew schedules and communication of shift pattern and breaks
Coordination and administration of internal and external studio bookings and facility requests
Administration, collation and reconciliation of Petty Cash, Staff Expenses, Credit Card receipts and invoices prior to provision to the Finance team.

Production Coordination
Assisting in checking availability of operations team and future planning of operational needs
Organisation of daily production paperwork, and filing of finance, administration and production material
Monitoring quality standards of production, and working with the team for continuous improvement
Participate in meetings, taking minutes, circulating agendas and following up on action points Communicating and working collectively as a team to support internal and external team members
Administration of Weekly Timesheets and responsibility for collating information for Payroll Administration and processing of Daily Production Reports and responsible for checking accuracy Assist with creation of training material, and other ad hoc supplementary paperwork

General:
Ad hoc organisational and hospitality duties to support teams and clients Flexible working hours required to meet client needs i.e. 2 late nights per week (Mon-Fri) Occasional Live Studio Gallery Support when required to cover breaks – full training will be provided The above list is not exhaustive, the successful candidate will be expected to perform duties as necessitated by your role and business objectives.

Minimum Requirements and Skills

Essential:
Minimum 2 years’ experience in an administration role, ideally in a similar production environment Excellent organisational and administration skills, with a focus on accuracy and attention to detail

Good time management, with an ability to multi-task, prioritise and problem solve

Knowledge and experience in resource management and bookings workflows

Excellent working knowledge of Microsoft Office including Excel, Word, Outlook and Teams Good computer and software literacy, ability to adapt to new software Strong communication and interpersonal skills, with the ability to communicate effectively both orally and in writing Excellent manner, friendly with an upbeat attitude towards providing helpful service Ability to stay calm under pressure Ability to work as part of a team and on own initiative

Desirable:

Previous experience in the media or communications environment
Relevant qualification in media, communications or business would be advantageous Knowledge of the Irish Language is an advantage but not essential.
An interest in current affairs or political procedures is an advantage but not essential

An interest in developing new or enhancing existing production or project related skills. In house training would be provided.
