Your Opportunity

We’re looking for a self-motivated and reliable Office Administrator. This role is based in our Dublin office and offers hybrid working but will provide support to our global team as required. This is a great opportunity for someone with strong administrative skills, and experience coordinating schedules and travel. You will need to be someone who enjoys being the go-to member of the team and being a key contributor and communicator.


Overview of Role

You will be working in a busy multitasking environment with the opportunity to really make a positive impact, get involved and manage a number of various activities and tasks. You will be responsible for the day to day running of the Dublin office, actively promoting a great working environment for all of your colleagues, and contributing to an engaged site experience for everyone. You will provide vital support across our business functions, and be the first point of contact for queries, think on your feet, solve problems and provide solutions. You will report to our HR Manager and work closely with the leadership team, Finance, Sales, and Marketing.


Key Responsibilities

  • Responsible for site experience for all visitors and employee visiting and working in the office
  • Day to day administrative support for Dublin office and global Leadership team
  • Direct executive assistance support for the CEO arranging meetings, coordinating schedules and internal executive team meetings and ad hoc projects.
  • Administering Escher’s travel platform and assisting with any group or individual travel as needed
  • Managing and preparing Dublin based meetings
  • Manage post/ courier and deliveries
  • Assisting in the organization of Office Events
  • Liaising with staff and suppliers on any queries
  • Liaise with facility management vendors
  • Responsible for the smooth day to day running of the office space
  • Managing Dublin office Email/phone and greeting visitors
  • Ordering office supplies and stationary
  • Working with HR to onboard new Employees
  • Assisting the Finance team as required, with invoices and filing
  • Assisting the Marketing team as required with event coordination/deliveries

Role Requirements

  • Leaving certificate or equivalent
  • Previous Office Administration experience, preferably 2+ years
  • Previous experience as Executive Assistance, preferably 2+ years
  • Extensive knowledge of Microsoft Office suite, particularly Outlook and Teams
  • Excellent communication skills (oral and written)
  • Efficiency and a positive attitude
  • You will be Self-motivated and a self-starter
  • Ability to maintain confidentiality at all times
  • Strong organizational skills
  • Ability to juggle and prioritize tasks
