Wedding and Events Coordinator


 

This role is responsible for assisting with all aspects of wedding sales, wedding client management, and event implementation for the hotel, as well as ensuring exceptional customer care is always achieved and standards in their area are maintained in order to facilitate the smooth operation.

Responsibilities

  • In charge of meeting and exceeding customer expectations both over the phone and in person.
  • Provide information, quotations, proposals, and contracts to all customers in a timely and accurate manner.
  • Respond to all wedding inquiries as soon as possible (email, phone, walk-in)
  • Ensure that detailed files are kept from the first meeting until the wedding is completed.
  • Packages should be negotiated and wedding sales should be confirmed.
  • Manage client expectations and always go above and beyond.
  • Handle all customer inquiries and complaints in accordance with the hotel's expectations, ensuring that guests are satisfied when they leave.
  • Ensure that customer feedback is forwarded to the department manager for follow-up.
  • Promote weddings actively within the hotel in order to maximise sales opportunities. Keep abreast of and familiar with industry trends both locally and globally in order to improve our product and service while maintaining our cutting-edge status.
  • Keep an eye out for competitors, packages, products, and marketing.
  • Daily office administration duties in collaboration with the Events team
  • Attend all wedding fairs, both in and out of the hotel.
  • Sales responsibilities include showing potential customers around the hotel and upselling every department, as well as looking for new business opportunities through cold calling, telephone sales, mail shots, and other methods.
  • Using the PMS system, prepare and maintain administrative documentation for events, implement proper filing procedures, and ensure the computer system is always up to date and accurate.
  • Coordination of wedding arrangements with bride and groom, including initial hotel and grounds tour, reception plans, proposals, and quotations

Requirements

  • Must have 2 years experience in a previous role
  • Attention to detail
  • Excellent client relationship building skills
  • Strong work ethic and ability to multitask
  • Must respond promptly to all inquiries (verbal and written)
  • Always maintain a professional appearance.
  • Must be hands-on and willing to be flexible in terms of work days and hours as the business requires

Salary: €26,683.64-€35,000.00 per year
