Operations Coordinator (remote)


 

HEC is an Irish vertical transport company, committed to delivering excellent service to our clients. We service and repair elevators, escalators and travelators for some of Ireland's best known brands. Owing to our continued growth, we have an opportunity for an experienced Operations Coordinator. The ideal candidate will be a confident and effective communicator with previous experience working as a services or operations coordinator within a services organisation. Full training will be provided. This is a fully remote role with some flexibility provided in terms of working hours.

Duties and responsibilities:

  • Scheduling and resource planning of all repairs works
  • Tracking and managing the status of all works, at all stages from order to invoice
  • Ensuring to update internal systems with status of work orders
  • Proactively communicating status updates to clients management and taking initiative to escalate issues
  • Preparing and providing quotes to clients with accuracy and attention to detail
  • Build and maintain excellent working relationships with all client contacts
  • Acting as a point of contact for Field Technicians for any information associated with the work order, including the provision of materials required
  • Advising relevant parties when site works are completed and finalising all required documentation
  • Ordering of uniforms and equipment for the company
  • Driving and promoting safe behaviour in accordance will all internal processes & procedures
  • Management of annual leave records in accordance with the requirements of the work schedule

The ideal candidate will have:

  • Previous experience working as an Operations or Service Coordinator or similar within a service organisation will be required
  • Highly developed prioritisation and time management skills
  • Great IT skills (this role is fully remote)
  • A resilient and adaptable attitude to the workplace
  • Excellent communication skills (both verbal and written)
  • Friendly and confident manner with an ability to take initiative in the best interests of the company
  • The ability to work accurately in a fast paced environment
